Who it is for

Text invoicing for independent contractors

Independent contractors often bill one company for a visit plus a part. A text invoice is the alert. The PDF is what their accounts file.

Write for the person who pays, not only the person who called

Contractors get stuck between the site contact and an accounts inbox. The text goes to the person who stood next to you. The PDF on the link is what they forward. Name the company, the hours and the cable. If they require a purchase-order number, put it in the message and at the end of the client name so it survives the forward. InvoiceTXT will not log into their vendor portal or submit a timesheet. If the contract says the only valid bill is the one uploaded to a portal, do that upload, and use this as the document you attach. Net 14 is a starting point. Their contract wins if it says something else.

Message you can send

Fieldstone IT support visit invoiced: 3 hours on site and a cable, $303, due in 14 days. PDF on the link for accounts: https://invoicetxt.com/i/your-link

01

Bill the company, not the employee’s first name

Accounts payable cannot pay “Dave”. They can pay Fieldstone IT.

02

Keep the part on its own line

A cable inside the hourly rate disappears when someone audits the visit.

03

Mention the PDF in the text

The forward only works if they know the file is one tap away.

04

Follow the contract’s days

Change due net 14 if the agreement says 30. Change the text in the same edit.

What to put on this invoice

  • The company you are contracting to
  • Hours on site
  • Parts you supplied
  • A PO number in the message when they use one

Questions about this job

Can I put my day rate instead of hours?

Yes. “1 day on-site support @ 450” is a valid line if that is the deal. Do not also charge the hours.

What if they will not pay from a link?

They can download the PDF and pay by their usual bank transfer. Say that in the text.

Does this replace a statement of work?

No. The invoice asks for the amount. The statement of work is the agreement that came before it.

Contractors get paid when the person on site and the person in accounts can both see the same lines.
