Personal trainer text invoice

Text the sessions, the pack you sold and any missed session you are still charging. A trainer invoice should say which dates.

Bill the block of sessions, and name it

Training invoices go wrong when a 10-session pack, a single session and a no-show fee are mushed together. If this text is for a pack, say “8 sessions” and the rate. If a session was missed under your stated policy, it is its own line and the text should say that, because a silent no-show fee is the one clients dispute. Due on receipt fits a pack bought up front. A monthly client can be net 7 if that is what you agreed.

Message you can send

This block is 8 sessions plus the programme notes, due today. Dates are on the invoice: https://invoicetxt.com/i/your-link

01

Count sessions, not hours, if that is how you sell

“8 sessions @ 40” matches the way the client thinks about the work.

02

Programme or plan as a separate fee

If the write-up is included in the pack, do not also charge it.

03

Name the month or the block

“March block” in the text stops a second invoice looking like a duplicate.

04

Send it when the pack starts or when it ends

Pick one rule and keep it. Mid-pack surprises feel like a new sale.

What to put on this invoice

  • Number of sessions and the rate
  • A programme fee only if it is extra
  • The month or the block name
  • The no-show line only when your policy allows it

Questions about this job

What if they cancel inside the window?

Invoice the session only if your policy says it is payable, and say “late cancel” on the line.

Should I text a receipt after they pay cash at the gym?

Yes, if they want a record. Mark it paid so you do not chase it.

Can couples share one invoice?

Only if one person is paying. Otherwise each payer gets their own sessions and their own link.

Say which sessions this covers. “Training” with no count is how a pack gets billed twice.
