Create an invoice from a WhatsApp chat

A WhatsApp chat already contains the price you agreed. Turn that message into invoice lines, then paste the link back into the same chat.

The chat is the quote. The link is the bill

WhatsApp is where a lot of small jobs are agreed, and it is a poor place to leave the agreement as a scrolling history. Read back the message where they said yes. Two revisions at 75 and the source files at 40 should be copied as lines, not summarised as “the logo work”. Then paste the link into that chat so the invoice sits under the approval. InvoiceTXT is not connected to WhatsApp. There is no bot in the thread, and sending a voice note to the business number will not create an invoice. You do the copy. If the chat has three different prices, the invoice uses the latest one they accepted, and the message should say which message you are billing so an older quote does not get dragged back in.

Message you can send

Studio Moth, putting the two logo revisions and the source files from this chat onto an invoice, $190, due in 7 days: https://invoicetxt.com/i/your-link

01

Find the message where they agreed

A price you typed and they ignored is not a line yet.

02

Copy the numbers, do not round them into a new total

190 is two revisions plus the files. A tidy 200 is a different deal.

03

Reply in the same chat

A fresh chat loses the approval that makes the bill obvious.

04

Say which items came from the thread

They should recognise their own words.

What to put on this invoice

  • The agreed revisions or visits
  • Files, parts or expenses mentioned in the yes
  • The due date you already stated in the chat
  • The link, pasted under that yes

Questions about this job

Can I connect my WhatsApp number?

No. You copy the link and send it yourself.

What if they agreed in a voice note?

Listen, type the line, and check the numbers against the note. The recording is not an invoice.

Should I delete the old prices in the chat?

No. Leave the history. The invoice states which price you are using.

WhatsApp can hold the agreement. The invoice should quote it, then the link goes back into the same thread.
