How to send a professional invoice via WhatsApp

WhatsApp can carry the note and the link. The invoice page carries the layout. A photo of handwriting is not a professional bill.

Look professional inside a chat app

WhatsApp is already where many clients say yes. The unprofessional part is a crumpled paper photographed on a van seat. Write a complete sentence, use their name, state the total and the due date, and send one link. If you want them to see the finished work, send that photo as a separate image with a caption, not as a substitute for the invoice. Offer the PDF from the page for their accountant. You do not need to paste your logo into the chat bubble.

Message you can send

Hello, the design invoice is ready. 12 hours plus 2 hours of revisions, due in 14 days. The link has the lines and a PDF: https://invoicetxt.com/i/your-link

01

Use their name and yours

“Invoice” from a number they do not recognise is easy to ignore. Start with the job they remember.

02

Send the link, then stop

A second bubble of apologies makes the bill look uncertain. One clear message is enough.

03

Keep the photo separate

A picture of the finished room can sit above the invoice. It should not be the invoice.

04

Download the PDF if their finance team asks

The page has the file. You do not design a new document for WhatsApp.

What to put on this invoice

  • The client’s name
  • The total and the due date
  • One invoice link
  • A PDF available from that link

Questions about this job

Should I use WhatsApp Business?

If you already use it, send from that number so the name and logo match. The invoice link is the same.

Can I send a voice note as the invoice?

You can explain the job in audio. The amount still needs to be written, and the link still needs to open the lines.

What if they react with a thumbs-up?

A reaction is not payment and it is not an acknowledgement of the total. Ask them to open the link, or to type their name on the acknowledgement if you need a record.

Professional, in a chat, means the customer can tell who billed them, for what, and by when, without zooming into a photo.
