How to make text invoices look official

An official-looking text invoice uses your trading name, itemised lines, a due date and a PDF. An acknowledgement on the page is a name and a time, not a certified signature.

Official means checkable

Clients call an invoice official when another person could pay it without asking you what it is. That standard is concrete. The trading name is in the text. The survey and the drawings are separate lines, because they were sold as two things. The total in the message is the total on the page. The due date is a real term. The PDF downloads from the link for a file they can forward. None of that requires a crest, a watermark or a certificate. If they type their name on the public invoice, that stores an acknowledgement of who typed it and when. It is not a qualified electronic signature and it does not prove they agreed to a contract. Do not describe it as one. If a client needs a wet signature or a particular portal, follow that instruction and attach the PDF.

Message you can send

North Quay Surveying: measured survey and drawings, $370, due in 14 days. The PDF on this page is the file to keep: https://invoicetxt.com/i/your-link

01

Use the name on your bank account or your register

A nickname in the text and a different name on the transfer causes delays.

02

Itemise what a clerk would expect to see

Survey, then drawings. Not a single unexplained sum.

03

Offer the PDF in the same message

Official, for many payers, means “there is a file”.

04

Describe the acknowledgement honestly

A typed name and a time. Not a digital certificate.

What to put on this invoice

  • Trading name
  • Itemised work
  • Matching totals
  • A PDF and a plain due date

Questions about this job

Can I add a digital signature certificate?

No. The sign option records a name and a time. It is an acknowledgement, not a certified signature.

Does a logo make it official?

A logo can be part of a plan’s PDF. It does not change the legal effect. The lines do more work than the logo.

What if they ask for a company number?

Put it in the text. There is not a separate company-number field on the public demo.

Make the invoice checkable by a stranger. That is the official look. Skip the decorations that do not change the numbers.
