Awkward moments
Invoice when Wi-Fi is bad
Draft the invoice line in your notes while the signal is poor. Send the link when a connection returns. Do not rebuild the job from memory later.
Separate drafting from sending
Bad Wi-Fi does not have to delay the content of the invoice, only the moment you send it. Write the exact line in your notes, including the prices, while you are looking at the unit or the room. When the phone finds a signal, paste that line, create the invoice and send the text. Do not “tidy it up” from memory in the car park if the note is already right. If you have no signal until the evening, the note still saves the job. Tell the customer the invoice is coming if you spoke to them. Silence plus a late link feels like an afterthought.
Write the full line offline
Notes do not need Wi-Fi. The invoice page does.
Paste, do not retype
Retyping is how 64 becomes 46.
Send on the first solid connection
A bar at the end of the street is enough. You do not need the office.
Tell them if it will be an hour
A sentence in person beats a surprise text at 9pm, though 9pm is still better than next week.
What to put on this invoice
- The finished line saved in notes
- Prices checked against the job
- A send as soon as the phone connects
- A short explanation if you could not send on site
Questions about this job
Can I create the invoice with no connection?
The page needs a connection to save the invoice and make the link. The wording does not.
What if the link will not load for them either?
Their signal and yours are different. They can open it later. You can also send the total in the text so they know the number without the page.
Should I fall back to paper?
If you already use a paper duplicate book, write the same totals. Do not invent a second price for the paper copy.
Bad signal delays the send. It should not delay the sentence you will send.
