Create an invoice from job notes

Turn the job note into the invoice line: client, each price, due date. If the note does not contain prices, it is not ready.

A job note is an invoice only if it has prices

Good job notes already read like invoices. “Wes Clarke Autos, diagnostic 89, two hours at 95, capacitor 64, due today” can be pasted. Bad job notes read like diaries. “System down, replaced part, customer nice” cannot be billed without you remembering the prices you did not write. The workflow is to write the prices into the note before you leave the unit, then paste. Abbreviations are fine if you expand them before the preview. “Cap” can become “capacitor” in the line the customer sees. They should not have to decode your notebook.

Message you can send

From the job note: diagnostic, two hours and a capacitor, due today. https://invoicetxt.com/i/your-link

01

Write the price next to the task

A task without a price is a reminder, not a bill.

02

Expand abbreviations on the invoice

The note can be terse. The customer’s line cannot.

03

Paste and preview

If a price sticks to the client name, add a comma.

04

Throw away nothing until it is sent

The note stays until the link is in the thread.

What to put on this invoice

  • Prices in the note
  • Plain descriptions on the invoice
  • Commas between items
  • A send that retires the note

Questions about this job

What if the office writes the notes?

Agree the shape with them. A note without a rate cannot be invoiced by anyone else.

Can I invoice from a photo of a whiteboard?

Only after someone types the line. The photo is not readable by the totals.

How long should notes be kept?

Until the invoice is paid, at least. They are your backup if a line is questioned.

If you change one habit, write the price in the note before you leave. The invoice is then a paste.
