Make a consulting bill easy to approve by text
Consultants often wait for a perfect PDF and then send it by email into a queue. The approver is frequently on their phone. A text with the two lines that matter, hours and the fixed package, plus the link, reaches them in the same place they said yes to the work. Expenses belong as their own line and only if you incurred them. A “research package” should be a phrase they have already heard in the proposal.

Use the words from the proposal
If you sold a research package, invoice a research package. A new name looks like a new fee.
Hours at the agreed rate
Do not invoice a higher rate in the text than the one in the proposal and hope they will not open the link.
Expenses with a reason
Travel 85 is fine if the trip happened. A round expense number with no trip is not.
Net 14 or net 30, stated
“Due soon” is not a term a finance team can schedule.

Is a text too informal for consulting?
The text is the notification. The invoice page and the PDF are what they file. Informal would be a number with no lines.
What if procurement needs a purchase order?
Put the PO number in the text and on the client line if you have it. Do not wait a month to ask for it if you can ask now.
Can I invoice a workshop and a follow-up together?
Yes, as two lines, if they are one engagement. Two clients means two invoices.
