Invoice in the same message as the files

Design invoices stall because the files go out on Friday and the bill goes out “next week”, which becomes never. Put the link under the handoff. Hours for the work and hours for the revisions should be separate if the revision round was in the quote as extra. A fixed project fee is one line. Do not also charge the hours that made up that fee.

Message you can send

Design files are with you. Invoice is 12 hours plus 2 revision hours, due in 14 days: https://invoicetxt.com/i/your-link

01

Match the quote

If the quote was 12 hours plus revisions at the same rate, the invoice should look like the quote.

02

Name the deliverable in the text

“Logo suite” or “landing page” tells them which project this is when you have more than one.

03

Net 14 if that is the studio term

Do not switch a client to due on receipt without saying so.

04

Keep the source files and the invoice as two links

One is the work. One is the bill. Mixing them in a zip file means the bill gets archived and ignored.

What to put on this invoice

  • Design time or a project fee, not both for the same work
  • Revisions if they are billable
  • The project name
  • The due date from your terms

Questions about this job

What if they ask for another round?

That round is a new line when it happens. Do not guess it on this invoice.

Should I invoice before I send the files?

If your term is payment before release, send the invoice first and say the files follow payment. Do not pretend the files were already delivered.

Can a text look serious enough for a brand client?

The text is the note. The page is the invoice, with a PDF their finance team can file.
