Best invoicing tool for sole traders

A sole trader needs a bill they can send from the phone they already carry. This page is that job, with a worked example and the limits of a text invoice.

Pick the tool that matches a one-person week

Sole traders lose evenings to software that wants a chart of accounts before it will show a price. The useful test is smaller. Can you name the customer, the hours and the board you bought, and can the customer open that on a phone without making an account? If yes, a text invoice is the right tool for the ask. It is the wrong tool for payroll, VAT returns and a year of receipts. Keep those in whatever ledger you already trust. Previewing the line on this page does not need an account. Storing invoices in a workspace is a paid plan, starting at Solo for 30 invoices a month.

Message you can send

Hale Joinery here. Alcove shelves are invoiced at $282, materials separate, due in 14 days. The lines are on this page: https://invoicetxt.com/i/your-link

01

Judge it on the driveway, not the brochure

If the invoice is not sent before the next job, the tool is too heavy for a one-person trade.

02

Keep the books where the books already live

A text does not replace the spreadsheet or the accountant you use at year end.

03

Match the plan to the month you actually have

Thirty invoices is a busy sole trader. One hundred and fifty is a different business. Do not buy the larger one to look ready.

04

Say who you are in the message

The customer should see the trading name before they tap. A bare link looks like spam.

What to put on this invoice

  • Trading name in the first line of the text
  • Hours and materials as separate prices
  • A due date you are willing to say out loud
  • A PDF on the link for anyone who asks for a file

Questions about this job

Is this the cheapest way to invoice?

You can type the example above without paying. Saving a workspace and creating invoices through the month uses Solo, Pro or Studio. There is no free plan.

Do I still need an accountant?

Yes, if you needed one last year. This sends the bill. It does not file your return.

What if a client wants a formal vendor setup?

Send the PDF from the link and complete their form. The text is how you deliver the bill, not how you join their procurement system.

For a sole trader, the best invoice is the one that leaves with you. The ledger can wait until the books are actually due.
