Show the diagnostic, the repair and the part
HVAC calls often start with a diagnostic fee and end with a part. Customers accept that when they can see it, and argue when it is one number. Write the diagnostic, the repair hours and the part. If the unit is under a maintenance plan, say so in the text and do not also charge the diagnostic. Due on receipt is reasonable when you restored cooling the same day and that was the agreement.

Charge the diagnostic on its own line
If you waive it when they proceed with the repair, take it off. Do not leave a waived fee on the invoice.
Name the part
“Capacitor 64” is clearer than “parts”. The customer watched you fit it.
Say whether the system is running
The text can say the cool is back. The invoice should not be the only place they learn the outcome.
Ask them to open it before you drive to the next call
A question about the part is quick in the driveway and slow tomorrow.

- Diagnostic fee, or a note that it was waived
- Repair labour
- The part that was fitted
- Due on receipt when same-day payment was agreed

What if the part has to be ordered?
Invoice the diagnostic and the labour you have done. The part is a second invoice when you fit it, unless they agreed to pay for it now.
Do I include refrigerant by the pound?
Yes, as its own line with the quantity and the rate. It is too expensive to fold into “service”.
Should the text mention the filter they refused?
Only if you are billing it. A note about a recommendation can be a sentence under the link, not a line item.
Same-day cooling is when the invoice should already be on their phone.
